Your estimate

Slips handled per year...
Staff hours per year...
Annual time cost...
Time cost per slip...

Estimates only. Assumptions are listed below, and you can change every input.

A single paper slip looks free. Multiply it by every student, every trip, every club and every reminder for the ones that never came back, and the hidden cost is teacher and office time that nobody budgets for. Most schools have no number for it, which makes it hard to make the case for a better process.

This calculator turns your own numbers into an annual estimate. It counts total slips per year, applies the minutes it takes to print, distribute, collect and file each one, then adds follow-up time for the share of slips that need chasing. Everything is multiplied by an hourly cost you set. There are no built-in benchmarks; the result is only as honest as the minutes you enter.

How to use this tool

  1. Enter how many students you handle slips for and how many slips each student returns in a typical year.
  2. Estimate the minutes one slip takes to print, distribute, collect and file, then the share that needs a follow-up and how long each chase takes.
  3. Set a loaded hourly cost for the staff involved and read off yearly slips, hours, cost and cost per slip.

What the math assumes

  • Every slip takes the same handling time (print, hand out, collect, check, file) regardless of who processes it.
  • Follow-up time applies only to the share of slips you mark as needing a chase, and each of those gets exactly one follow-up of the minutes you enter.
  • Hourly cost is a loaded rate you choose; it can be teacher salary plus benefits, a substitute rate, or an office staff rate.
  • Paper, printing and copier costs are not included; add them separately if they matter to you.
  • The dollar figure is an opportunity cost of staff time, not cash a school would automatically save by changing process.

Frequently asked questions

What hourly cost should I use for teacher time?

A simple approach is annual salary plus benefits divided by contract hours. For a conservative number, use a substitute teacher day rate divided by the hours in a day, since that is what covering lost time actually costs.

Does this include the cost of the paper and copies?

No. Printing costs are usually small next to labor, so the calculator focuses on time. If you want them in, add your per-page cost times slips per year to the annual total.

Is the follow-up share really 30 percent?

That is only a starting default. Look at your last trip, divide the slips you had to chase by the total sent, and enter that percentage. Some classes are far below it and others far above.
