Most permission slips do not come back late because the trip is unpopular; they come back late because the timeline was too short. Sending the form ten days out with one reminder leaves a handful of families missing at the cutoff, and the scramble starts the morning of the trip.

This planner models return rate as a chain of asks. A share of families sign after the first request, and each reminder brings back a share of whoever is still missing. Given your collection window and reminder cadence, it projects how many slips you will have at the cutoff and how many days you need to reach your target. The response rates are yours to set; the tool does not assume any industry average.

How to use this tool

  1. Enter the number of slips you need back and the days between sending the form and your headcount cutoff.
  2. Estimate the share who sign after the first ask and the share of the remaining who sign after each reminder, then set how often you remind.
  3. Set your target return rate and check the verdict: if the days needed exceed your window, send earlier or remind more often.

What the math assumes

  • Reminders go out at a fixed interval starting from the day you send the form, so the number of reminders is the collection window divided by the interval, rounded down.
  • Each reminder brings back the same fixed share of the families still missing, no matter how many reminders have already gone out.
  • Responses to each ask land before the next reminder, so reminders never overlap with families who were about to sign anyway.
  • Days needed counts up to the day the last required reminder goes out; add a day or two of slack if your families respond slowly.
  • Rates are applied per slip; siblings in the same class count separately here.

Frequently asked questions

How do I know my first-ask and reminder response rates?

Check your last trip. Count how many slips came back before the first reminder and divide by the class size, then look at how many of the remaining came back after each nudge. Two trips of your own data beat any general benchmark.

Why does the planner say the target is not reachable?

If the reminder response share is zero, reminders never move the number, so any target above the first-ask rate is impossible. A 100 percent target also cannot be reached by percentages alone; plan a direct call for the last few families.

Does reminding more often always help?

In the math, yes, because more reminders fit in the window. In practice, daily reminders get tuned out. Try a gap of a few days and switch channel for the final reminder, then test the result against your own return numbers.
